Privacy Policy

This policy explains what personal information we collect when you enquire about or attend The Liberation Chapter, why we hold it, and what rights you have over it.

Who we are

The Liberation Chapter is jointly delivered by Lead4Agility Ltd (registered in England and Wales, company number 15116516) and Create Impact (Dr Katharina Sell, VAT number ESY7606087R, registered in Spain) — together, "the Organisers."

As joint controllers, Lead4Agility Ltd and Katharina Sell have agreed the following division of responsibility:

  • Lead4Agility Ltd is the primary point of contact for data subject requests (access, correction, deletion, restriction, objection, portability) and will coordinate a response between both parties within the timescales set out in "Your rights" below.

  • Health information and emergency contact details disclosed for the purposes of the retreat are held and managed jointly, with each party responsible for the security of its copies.

  • Booking and financial records connected to retreat fees are held by Katharina Sell, in her capacity as the invoicing party.

  • Website, email, and marketing data (including images and testimonials) are managed by Lead4Agility Ltd.

This arrangement does not affect your ability to exercise your rights with either party. This summary reflects our agreement as joint controllers under data protection law.

What we collect

  • Contact and booking details — your name, email address, phone number, and the information you provide in the application form.

  • Health information — what you disclose about physical or psychological conditions relevant to your safe participation, any medication, dietary requirements, and allergies. This is special-category data, and we treat it with particular care. We only process this once you have given separate, explicit consent — see "Why we hold it" below.

  • Emergency contact details — the name, relationship, and phone number of the person you nominate. Please make sure they are comfortable with you sharing these with us. Your emergency contact is a third party and has not seen this policy directly. By providing their details, you confirm that you have told them that you have shared their name, relationship to you, and phone number with us. We will only use these details to contact them in a genuine emergency during the retreat. They can contact us at jvp@lead4agility.com if they have questions about how their information is handled, or if they wish to exercise their rights regarding it.

  • Payment records — retreat fees are invoiced and paid by direct bank transfer to Create Impact's business account, so we hold confirmation of the amounts, dates, and the bank details required to make the transfer. We do not process card payments and do not hold your card details. Accommodation is paid separately and directly to House of Inquiry, under their own process.

  • Correspondence — emails and messages exchanged with us before, during, and after the retreat.

  • Images and testimonials — only where you have given consent, and only in the form you have consented to. Any audio or video recordings made by the Organisers during the retreat (for example, of group sessions) are held and used on the same consent basis as images and testimonials, and are retained only for as long as needed for that purpose.

  • Website data — basic analytics and cookie data when you visit our site. See "Cookies" below.

Children's data — the retreat is open to participants aged 18 and over. We do not knowingly collect personal data from anyone under 18.

Why we hold it, and on what basis

  • To deliver the retreat you have booked — basis: performance of a contract with you.

  • To keep you safe during the retreat — for health information, basis: your explicit consent. This is captured separately from your general application through a dedicated statement in your Participation Agreement, which you sign as a PDF. It reads: "I explicitly consent to Create Impact and Lead4Agility Ltd processing the health information I have disclosed for the purpose of my safe participation in the retreat." You may withdraw this consent at any time, though we may then be unable to confirm your participation.

  • To contact someone on your behalf in an emergency — for emergency contact details, basis: legitimate interests, and vital interests where applicable.

  • To meet legal and tax obligations — basis: legal obligation. Invoicing records are retained as required by Spanish tax law.

  • To respond to enquiries and keep you informed about the retreat — on the basis of legitimate interests.

  • To use images or testimonials in our marketing — basis: your consent, which you may withdraw at any time.

Who we share it with

We do not sell your information, nor do we share it with any third parties for marketing purposes. Your data is only disclosed when necessary:

  • Between the Organisers — each of us accesses only the categories of information relevant to our respective role, as set out in "Who we are" above.

  • With House of Inquiry — your name and any dietary or accessibility requirements, to facilitate your stay. You contract directly with House of Inquiry for accommodation, and they retain your booking data in accordance with their own privacy policy.

  • With emergency medical personnel — relevant health and contact details in case of an emergency during the retreat.

  • With our service providers — the platforms we use to run the retreat, including our form provider, website host, and email provider. Each of these entities operates under a data processing agreement and is authorised to use your information solely in accordance with our instructions.

  • Where we are legally obligated to do so.

Where your information is held

Some of our service providers store data outside the UK and European Economic Area. Where that happens, transfers are protected by an adequacy decision or by standard contractual clauses. Retreat records themselves are held within the UK and Spain.

Security

We take reasonable technical and organisational measures to protect your information, including restricting access to those who need it to deliver the retreat, and using service providers who are contractually required to protect your data under a data processing agreement.

How long we keep it

  • Health information — deleted within three months of the retreat ending, unless there is an ongoing safety or insurance reason to retain it.

  • Emergency contact details — deleted within three months of the retreat ending.

  • Booking and financial records — retained for the period required by Spanish tax law, currently four years.

  • Correspondence and contact details — retained while there is an active relationship, and deleted on request.

  • Images and testimonials — retained for as long as we use them, and removed on withdrawal of consent.

Your rights

Under UK and EU data protection law you have the right to ask us for a copy of the information we hold about you; to have inaccurate information corrected; to have information deleted; to restrict or object to how we use it; to receive it in a portable format; and to withdraw consent at any time where consent is the basis we rely on.

If you are not satisfied with our response, you may complain to the Information Commissioner's Office in the UK (ico.org.uk) or the Agencia Española de Protección de Datos in Spain (aepd.es). You may approach either.

Our website uses cookies that are necessary for it to function, and may use analytics cookies to understand how the site is used. You can accept or decline non-essential cookies through the banner shown on your first visit, and change your choice at any time through your browser settings.

We will note material changes to this policy here, including the date of change and a brief summary, in addition to the "last updated" date shown at the foot of the policy.
